The Critical Difference

The biggest mistake internationals make is mixing formal and informal language. You can't use "du" in a formal email or "Sie" with close friends. Pick one style and stick with it throughout the entire message. When in doubt, start formal. Germans will tell you when you can switch to "du."

Basic Rules You Must Follow

German email etiquette is strict. These rules aren't suggestions. Break them and you'll immediately mark yourself as unprofessional or culturally unaware.

Use "Sie" (formal) for:

  • Anyone you don't know personally
  • Professors and teachers
  • Employers and colleagues (until told otherwise)
  • Government officials
  • Service providers and landlords
  • Anyone older or in authority

Use "du" (informal) for:

  • Friends and family
  • Children and teenagers
  • Fellow students (usually)
  • After someone explicitly offers it
Pro tip: Never switch to "du" first. Wait for the German person to suggest it. They'll usually say "Wir können uns duzen" (We can use du).

German greetings always end with a comma, and the next line starts with a lowercase letter (unless it's a noun).

am 1. Oktober 2024 habe ich bei Ihnen einen Laptop der Marke TechBook Pro 15 zum Preis von 1.299 Euro bestellt (Bestellnummer: 4589-2024, Rechnungsnummer: RE-2024-8876). Das Gerät wurde am 5. Oktober geliefert.

Leider funktioniert der Laptop nicht ordnungsgemäß. Bereits beim ersten Einschalten traten folgende Mängel auf:
1. Der Bildschirm flackert ständig, insbesondere bei hellen Inhalten
2. Das Gerät überhitzt nach wenigen Minuten Nutzung
3. Die Akkulaufzeit beträgt nur etwa 2 Stunden statt der angegebenen 10 Stunden
4. Mehrere Tasten der Tastatur reagieren nicht zuverlässig

Ich habe bereits versucht, das Problem durch einen Neustart und das Zurücksetzen auf Werkseinstellungen zu beheben, jedoch ohne Erfolg. Der Fehler liegt eindeutig an der Hardware, nicht an der Software oder meiner Nutzung.

Gemäß § 437 BGB habe ich bei einem Mangel das Recht auf Nacherfüllung. Ich fordere Sie daher auf, mir innerhalb der nächsten fünf Werktage ein einwandfreies Ersatzgerät zuzusenden. Sollte dies nicht möglich sein, möchte ich vom Kaufvertrag zurücktreten und eine vollständige Rückerstattung des Kaufpreises erhalten.

Das defekte Gerät steht zur Abholung bereit. Bitte teilen Sie mir mit, wann Sie es abholen werden, oder senden Sie mir ein Rücksendeetikett zu. Die Kosten für die Rücksendung tragen selbstverständlich Sie.

Use “du” (informal) only with friends, family, children, and colleagues who explicitly told you to switch. When in doubt, start with “Sie”. Germans will tell you when you can use “du” by saying “Wir können uns duzen.” Never switch to “du” first.

“Mit freundlichen Grüßen” is the most formal closing, equivalent to “Sincerely” or “Best regards,” and used for official business letters, first contact, or very formal situations. “Viele Grüße” (Many greetings) is less formal and used for ongoing business relationships or semi-formal contexts.
